Production Operations Associate

MUSE/IQUE is searching for a Production Operations Associate for the creative/production department to offer support on a variety of projects. We are seeking an individual with excellent attention to detail, verbal, and written communication, follow through, computer skills, discretion, and a sense of humor. The Production Operations Associate is a full-time position starting ASAP. The person in this position will report to the Director of Artistic Production, and work closely with the Production Manager, Director of Education, and Director of Operations, as well as the rest of the MUSE/IQUE team as needed. MUSE/IQUE staff are currently working a hybrid schedule with four in-person days a week at our Pasadena offices. The schedule will include nights and weekends, based on rehearsal and performance calendars. Hourly wage range is from $24 to $27 per hour. Mileage reimbursement for business is provided.

Primary Responsibilities:

• Coordinate contract and invoice processing for the artistic, production and education departments.

• Assist with email correspondence and calendar maintenance for Artistic Director.

• Maintain event database, adding details of artist contacts and promotional materials, repertoire performed, event locations, etc. for every event.

• Draft and circulate event information sheets, including contact information, event timelines, pack lists, audio/visual requirements, etc.

• Organization, inventory, and management of storage facility, in collaboration with the Production Manager.

• Coordinate travel and accommodations for visiting artists, as necessary.

• Research related to artists, venues, music repertoire, and other projects as they arise.

• Assist Production Manager with hiring and scheduling of freelance Production Assistants.

• Errands related to all aspects of artistic, production and education departments.

• Manage production Google Calendar.

• Organization of department files and documents.

Requirements

• Impeccable time management, organization and attention to detail.

• Ability to multi-task and determine priorities among competing demands.

• Strong interpersonal, verbal, and written professional communications, including phone calls.

• Reliable transportation, including adequate vehicle and ability to drive items and other people to various destinations in the Los Angeles/Pasadena area.

• Appreciation for and basic knowledge of music and orchestras.

• General knowledge of theatrical or concert production.

• Ability to develop and maintain effective professional relationships and communication with executives, artists, and a variety of colleagues at every level, as well as interfacing with patrons and donors at events.
